Research data management faces the challenge of designing effective and user-friendly processes that meet the needs of different disciplines. How can the requirements in Coscine for storage space requests in the Coscine JARDS review process be optimized to ensure both quality and efficiency? This is precisely where the third user meeting of Coscine.nrw comes in. In this follow-up report, we summarize the most important topics and results of the meeting and provide insights into the discussions, group work, and future steps to improve the range of services.
Welcome and Introduction
At the third user meeting, which took place on October 29, 2025, numerous participants from various institutions gathered to share their experiences and perspectives. The event began with a warm welcome to those present.
Updates on the Advisory Board and Guidelines
Following the welcome, the tasks of the Coscine.nrw and FDSI.nrw (Research Data Storage Infrastructure) advisory boards were outlined, along with the names of the individuals involved. Over the past few months, the Coscine team has drawn up various documents, which were briefly presented at the user meeting: these included Coscine’s review guidelines and selection policy, as well as FDSI.nrw’s management concept. Important changes that are significant for future cooperation were discussed.
Group Work on Needs Analysis
A central element of the meeting was the group work, in which the participants were divided into smaller groups. These groups were tasked with discussing their requirements for the review process for storage space requests in the Coscine JARDS review process. Each group had a flipchart at their disposal on which the current Coscine JARDS review process was illustrated. Post-it notes were used to add comments, suggestions for improvement, and simply open suggestions. Each group was assisted by a member of the Coscine team. The discussions were lively and productive. Many participants contributed valuable ideas and identified both challenges and positive aspects of the current process.
Presentation of the Results
In a short presentation phase, the Coscine team presented the results, which were supplemented by the participants as needed. The comments primarily related to the communication structures within the process and the support for universities that are just starting the process. The Coscine team recorded the presented results as a photo protocol and will now discuss them further soon.
Outlook for Upcoming Events
The meeting ended with an outlook for upcoming training courses and anticipation for the 4th user meeting, which is expected to take place in spring 2026. In the concluding round, Dr. Ilona Lang, Katja Jansen, and Michèle Robrecht thanked all participants for their commitment and valuable contributions.
