Since the introduction of Webex at RWTH Aachen University on November 2, 2023, we have repeatedly received requests for a link between the Webex and Exchange calendars. Now we can fulfill this request: With the new “Hybrid Calendar Connector,” seamless synchronization of both systems is possible.

Benefits of the New Feature

The Hybrid Calendar Connector significantly improves the user experience with Webex by allowing appointments to be managed centrally in a single calendar. This means that there are no more duplicate entries and users no longer have to switch back and forth between different apps.

With this update, appointments created in your Exchange account are automatically synchronized with the “Meetings” tab in Webex—and vice versa. Users are notified of upcoming appointments directly in the Webex app. If it’s a Webex meeting, you can join with a single click.

Meetings are easier to create thanks to Webex. Particularly practical: with the new update, Webex meetings are now even easier to create. If you enter the keyword “@webex” in the “Location” field when scheduling an appointment, the system automatically generates a meeting link and stores it in the appointment. Detailed instructions can be found in our documentation portal IT Center Help.

The Most Important Advantages at a Glance

  • Intuitive Operation: Create appointments as usual in the Exchange calendar; synchronization occurs automatically.
  • Two-Way Synchronization: Appointments created in the Exchange calendar are also displayed in the Meetings tab of the Webex app.
  • Centralized Appointment Management: Webex meetings can be created directly using the keyword “@webex.”

The Hybrid Calendar Connector makes working with Webex much more convenient and efficient. We are delighted to finally be able to offer this much-requested feature. Do you have any questions about the new Hybrid Calendar or about Webex in general? If so, please feel free to contact the IT Service Desk.
