Microsoft products play a major role in everyday university life, especially for many students. Services such as Word, PowerPoint, Excel and OneNote are part of the Microsoft licences included in the Microsoft federal contract that RWTH Aachen University has concluded with Microsoft. This gives students (and employees) the necessary rights to use the software.
Due to new votes and licence changes on the part of Microsoft, the storage space for OneDrive and SharePoint Online on the tenant for students has been redefined.

Storage Space Reduction and Transitional Solution
In accordance with the new licence terms, RWTH Aachen University will have less storage space available for students from August 1, 2024. Due to the short notice, Microsoft has provided a transitional solution so that you can continue to use the services regularly until September 17, 2024 and have enough time to back up your data. From September 17, however, RWTH Aachen University must comply with the new conditions, so that the following storage space will be available to all students from this date:
- personal OneDrive: 10GB
- SharePoint Online Sites: 50GB
The terms of use have already been amended and are available for you to read on IT Center Help.
The affected files include all those created via Microsoft Office products, such as Word, Excel, PowerPoint and your OneNote notebooks.
Check Storage Space and Back Up Data
This means for you now: Check whether you are over the new storage limit. If this is the case, you must actively reduce your storage space. Please check this by September 17 and migrate, save locally and/or delete your files before this deadline to prevent data loss.
If you are unsure how much storage space you have used, you can find out on OneDrive and on SharePoint Online. Please log in there with something@students.rwth-aachen.de. On IT Center Help you will find detailed instructions on how to view the storage space on OneDrive and the storage space on SharePoint Online.
Please also note that the migration is not performed by the IT Center but must be carried out independently by you.
We offer sciebo as an alternative platform so that you still have a storage option apart from OneDrive and SharePoint Online. All information on using sciebo can be found on IT Center Help.

You also have the option of saving your files locally in future instead of backing them up in the cloud. Microsoft has provided instructions on how to do this.
