A round thing – the GitLab Project LifeCycle

With the open source software GitLab, software and web projects can be versioned. In addition, versions of the code can be stored and documented. Digital archives give the possibility to organize, self-host and manage the versions. GitLab is used at RWTH Aachen University with pleasure and actively. However, after projects have been processed, a lot of data often accumulates that is no longer used. To prevent a mountain of data garbage from accumulating in GitLab, a Project LifeCycle was designed and introduced.

The GitLab Project LifeCycle consists of different stages. The first stage is triggered as soon as the inactivity limit is exceeded. This is the case when a project has not been used for 12 months. The project is automatically marked as inactive. The user receives an automatic notification by e-mail asking whether further use is planned and setting a deadline of 8 weeks. During these 8 weeks, the user has time to either commit to the project or request an extension of the project. Then the project will be unmarked again.

If no commit is made and no extension request is received by the specified deadline, an export extension request is received, an export of the project is generated and the project is project will be finally deleted. The export of the project will be provided for 4 more weeks and then also deleted.

      Hallo Hans,
      danke für deine Rückmeldung.
      Wir möchten an dieser Stelle noch einmal darauf hinweisen, dass niemals einfach so ein Projekt gelöscht wird.
      Innerhalb des Lifecycles werden mehrmals Benachrichtigungen an den Nutzenden versendet und stetig geprüft, ob ein Projekt eine neue Aktivität aufweist.
      Eine Verlängerung ist für jedes Projekt auch ohne neue Aktivität mit einer kurzen E-Mail an das IT-ServiceDesk (servicedesk@itc.rwth-aachen.de) möglich.
      Selbst wenn es dazu kommt, dass durch fehlende Rückmeldung ein Projekt gelöscht wird, wird automatisch ein Export der Dateien für 4 Wochen zur Verfügung gestellt.
      Die zuständige Fachabteilung haben wir über deinen Unmut informiert.
